Who we are

Big Roots Marketing is a marketing agency based on the Yorkshire Coast. Our website is bigrootsmarketing.com and you can contact us at hello@bigrootsmarketing.com.

We are the data controller for personal information collected through this website and our email marketing. This policy explains what we collect, why, and what your rights are.

What information we collect and why

Website enquiries

If you contact us through our website contact form, we collect your name, email address, and any details you choose to include in your message. We use this to respond to your enquiry. The legal basis is our legitimate interest in communicating with people who contact us.

Email sign-up

If you sign up to receive emails from us, we collect your email address and any other details you provide (such as your business name). We use this to send you the emails you requested. The legal basis is your consent, which you can withdraw at any time.

Business research database

As part of our market research into Yorkshire Coast businesses, we may hold publicly available information about local businesses, including trading names, website addresses, and contact details drawn from public sources. We hold this information under the legitimate interests basis to inform our marketing services and local business research. If you are a sole trader and would like your information removed from our research database, please contact us at hello@bigrootsmarketing.com.

Our email marketing service — EmailOctopus

We send marketing emails using EmailOctopus, a service provided by Three Hearts Digital Ltd (86–90 Paul Street, London EC2A 4NE). When you subscribe to our mailing list, your email address and any other details you provide are stored and processed by EmailOctopus on our behalf.

EmailOctopus and its email delivery service providers will process your personal data in order to send emails on our behalf. By subscribing, you acknowledge that your data will be processed in this way. You can read EmailOctopus's own privacy policy at emailoctopus.com/legal/privacy.

Tracking in emails

Emails we send may include a tracking pixel - a small invisible image - which tells us whether you opened the email, and links which record whether you clicked them. This helps us understand what content is useful to our subscribers. If you do not wish to be tracked in this way, you can disable image loading in your email client, or unsubscribe at any time.

Sharing your data

We do not sell your personal data to anyone. We share it only with the service providers necessary to run our business, including:

  • EmailOctopus / Three Hearts Digital Ltd — email marketing and subscriber management

  • Wix.com — website hosting and contact form processing

  • Google — website analytics (see Cookie Policy)

  •

All of these providers act as processors on our behalf and are bound by appropriate data processing agreements.

How long we keep your data

  • Website enquiries: up to 2 years, or until the matter is resolved

  • Email subscriber data: for as long as you remain subscribed, plus a short suppression period after unsubscribing to prevent re-adding you accidentally

  • Business research data: reviewed annually and updated or removed as appropriate

Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you

  • Ask us to correct inaccurate data

  • Ask us to delete your data (subject to any legal obligations we have to retain it)

  • Object to or restrict processing of your data

  • Withdraw consent at any time (for example, by unsubscribing from our emails)

  • Lodge a complaint with the Information Commissioner's Office (ico.org.uk)

  •

To exercise any of these rights, contact us at hello@bigrootsmarketing.com. We will respond within one month.
